Comma Solutions Ltd ("Comma", "we", "us") is committed to protecting your privacy. This policy explains what information we collect, how we use it, and what rights you have over it.

Who this policy covers
This policy covers two types of people who interact with Comma:
Hosts — property owners and managers who create a Comma account and set up the service for their properties.
Guests — visitors who use the Comma chat interface to ask questions about a property. Guests do not need an account to use Comma.
What we collect
From hosts:
Name, email address, and phone number
Property information you provide to set up your Comma (house guides, rules, local tips, access information)
Billing information (processed securely by Stripe — we do not store card details)
Usage data such as login activity and feature use
From guests:
Messages and questions sent through the Comma chat interface
The property the conversation relates to
General usage data (timestamps, session information)
We do not collect guest names, email addresses, or contact details unless a guest voluntarily provides them in a message
How we use your data
To provide the service: We use host and guest data to operate Comma — answering guest questions, escalating unanswered questions to hosts, and improving response accuracy over time.
To improve Comma for everyone: Guest questions and conversations may be used in an anonymised, aggregated form to identify common patterns, improve AI response quality, and develop product features. This means we may analyse what types of questions guests commonly ask — but this analysis never identifies individual guests or links data back to specific people or properties.
To communicate with hosts: We send product updates, onboarding information, and service notifications via email and WhatsApp. Hosts can opt out of marketing communications at any time.
We do not sell your personal data to third parties — ever.
Who has access to your data
Your data is accessible to the Comma Solutions Ltd team. We use the following third-party services to operate the platform, each governed by their own privacy policy:
Supabase — database and authentication
OpenAI — AI processing of guest messages
Twilio / WhatsApp Business API — message delivery and escalation notifications
Stripe — payment processing
Railway / Vercel — hosting and infrastructure
We take reasonable steps to ensure these providers handle data securely and in accordance with applicable law.
Guest data and host responsibility
Hosts who use Comma are responsible for ensuring their guests are aware that an AI service may respond to their messages. We recommend hosts mention this in their welcome information or property guide. Comma provides suggested wording on request.
Data retention
Host data is retained for as long as your account is active. If you close your account, we will delete your personal data within 30 days unless we are required by law to retain it.
Guest conversation data is retained to maintain the accuracy of your property's knowledge base. Hosts can request deletion of their property's conversation history at any time by emailing hello@askcomma.com.
Your rights
Under the New Zealand Privacy Act 2020, you have the right to:
Request access to the personal information we hold about you
Ask us to correct any information that is inaccurate
Ask us to delete your personal information
To make any of these requests, email hello@askcomma.com. We will respond within 20 working days.
Cookies and tracking
Our website uses standard analytics tools to understand how visitors use the site. This data is aggregated and does not identify individual users. You can disable cookies in your browser settings at any time.
Changes to this policy
We may update this policy from time to time. We will notify hosts of any significant changes via email at least 14 days before they take effect. The current version is always available at askcomma.com/privacy-policy.
This policy is governed by the New Zealand Privacy Act 2020.
