Operators

Accommodation providers, tourism operators, and businesses using Comma to manage guest or visitor questions.

Guests and visitors

People who interact with Comma through a shared link, QR code, website widget, or messaging interface.

Guests and visitors do not need to create an account to use Comma.



What information we collect

Information from operators

We may collect:

  • Name, email address, and phone number

  • Business or property information

  • Content uploaded or connected to Comma, including:

    • house guides

    • websites

    • FAQs

    • activity information

    • operational documents

    • access instructions

    • staff information

    • knowledge base content

  • Usage data such as login activity and feature usage

  • Billing information processed securely through Stripe (we do not store full card details)

Information from guests and visitors

We may collect:

  • Questions and messages submitted through Comma

  • Conversation history

  • General session information such as timestamps and device/browser data

  • The business, property, or experience the conversation relates to

We do not require guests to create an account.

Guests should avoid sharing sensitive personal information unless necessary.



How we use information

To provide the service

We use information to:

  • Answer guest and visitor questions

  • Deliver access instructions or operational information

  • Notify operators when human input is needed

  • Improve the accuracy and usefulness of responses over time

  • Maintain and improve each operator’s knowledge base

To improve Comma

Comma learns from information provided by operators and from approved answers added to the platform.

We may also analyse conversations in aggregated or anonymised form to:

  • improve response quality

  • identify common operational questions

  • improve platform performance and features

We do not use guest conversations to identify individuals or publicly associate information with a specific business.

To communicate with operators

We may contact operators about:

  • onboarding and support

  • product updates

  • important service notifications

  • account or billing matters

Operators can opt out of non-essential marketing communications at any time.



AI and automated responses

Comma uses artificial intelligence to generate responses based on the information operators provide.

Responses may occasionally be incomplete or incorrect. Operators remain responsible for reviewing and approving information shared with guests where appropriate.

Comma may notify or involve a human team member when it cannot confidently answer a question.



Sharing information with third parties

We do not sell personal information.

To operate the platform, we use trusted third-party providers including:

  • Supabase - database and authentication

  • OpenAI - AI processing

  • Twilio / WhatsApp Business API - messaging delivery

  • Stripe - payments

  • Railway / Vercel - hosting and infrastructure

These providers may process information on our behalf in accordance with their own privacy and security practices.



Access information and secure content

Operators may choose to store private operational information within Comma, including:

  • gate codes

  • key locations

  • wifi passwords

  • arrival instructions

  • internal procedures

Comma supports separate public and secure access methods to help operators control what information is shared and with whom.

Operators are responsible for configuring and sharing access links appropriately.



Data retention

Operator data is retained while the account remains active.

If an account is closed, we will delete or anonymise personal information within a reasonable timeframe unless required to retain it by law.

Conversation history may be retained to support ongoing learning and knowledge accuracy for that operator’s account.

Operators may request deletion of their data at any time by contacting hello@askcomma.com.



Your rights

Under the New Zealand Privacy Act 2020, you may request to:

  • access personal information we hold about you

  • correct inaccurate information

  • request deletion of your personal information where applicable

Our website may use cookies and analytics tools to understand how visitors use the site and improve performance.

This information is generally aggregated and does not directly identify individuals.
